Send personalized emails from a client's detail page using built-in templates and merge tags. Emails go from your own address via SendGrid sender verification, with your signature auto-appended and every email logged in the client's activity feed.
GreenDoor's email feature lives on the client's detail page, right where you manage everything else about that relationship. Click the email tab, choose a template or start from scratch, and send. The client's email is pre-filled, and the template automatically inserts their name and your details.
This keeps email as a natural part of the client workflow rather than a separate tool you have to switch to. After sending, the email is immediately logged in the client's activity feed with the full subject, body, and timestamp — creating a complete communication history you can reference later.
GreenDoor ships with five email templates designed for the most common real estate follow-up scenarios. Each template is pre-written with professional copy and merge tags already placed.
You can edit any template to match your voice, or create your own custom templates that are saved to your account.
Every template supports merge tags that GreenDoor replaces with real data when the email is sent. This means your templates stay generic and reusable while the actual emails feel personal and specific.
Available merge tags include:
{{client_first_name}} {{client_last_name}} {{agent_name}} {{agent_phone}} {{agent_email}} {{property_address}} {{showing_date}} {{current_date}}
When you select a template, GreenDoor shows you a preview with all merge tags resolved so you can see exactly what the client will receive before hitting send.
Every email sent through GreenDoor automatically includes your professional email signature at the bottom. Set up your signature once in your agent settings — name, title, phone number, brokerage, and license number — and it's appended to every outgoing email.
Your signature is consistent across all emails, whether you're using a template or writing from scratch. No more forgetting to include your license number or sending an email without your phone number. The signature updates everywhere when you change it in settings.
GreenDoor uses SendGrid for email delivery, but your clients never see SendGrid's name or a generic "noreply" address. Through SendGrid's sender verification process, you verify your own email address so every email sent from GreenDoor appears to come directly from you.
When a client gets an email, it shows your name and your email address in the "From" field. When they reply, the reply goes to your email inbox. The experience is seamless — clients have no idea the email was sent from a CRM, and you maintain a professional, personal touch.
Setting up sender verification takes about two minutes during onboarding. GreenDoor walks you through the process step by step.
Emails sent through GreenDoor use SendGrid's infrastructure, which means high deliverability rates and proper authentication (SPF, DKIM). Your emails are far less likely to land in spam compared to sending from a personal email account with attachments.
SendGrid handles the technical details — bounce management, unsubscribe compliance, and delivery optimization — so you just write the email and click send. GreenDoor takes care of making sure it actually gets delivered.
Every email you send through GreenDoor is logged in the client's activity feed with the subject line, full email body, recipient, timestamp, and sending status. This gives you a complete communication history that's searchable and always accessible.
When you're reviewing a client's history before a call, you can see exactly which emails were sent, when, and what they said. No more digging through your personal email inbox trying to find that follow-up you sent three weeks ago. It's all in the CRM, tied to the client.
For brokerages, this logging creates an audit trail of all agent-client communications. Combined with GreenDoor's AI assistant activity logging, you have a complete record of how each client relationship is being managed.
Email automation works best when it's part of a connected workflow. Send a follow-up after a showing, email a matched listing to a buyer, or send a contract for e-signature after an offer is accepted. Every step happens inside GreenDoor.
